The quick take

Match the device to the workflow and give someone clear ownership of supplies and support.

Measure the routine and the peak

Count the pages in a typical month and identify your largest recurring batch. Compare that workload with the manufacturer’s recommended monthly volume. Leave headroom for normal busy periods instead of treating the maximum duty cycle as a regular target.

Map the complete document route

Follow one job from incoming file or paper to the final destination. Do you need a scan feeder, searchable documents, a shared print queue or fax? Check whether each function is built in, depends on software, or requires a separate service.

Plan for replenishment and downtime

Keep the correct regional supply numbers and support details with the printer record. Decide who checks paper and ink, and identify a fallback for urgent jobs. A predictable replenishment routine can matter more than a small difference in advertised speed.
