The quick take

A useful printer fits the work you repeat. Start with that work, then compare features and ongoing costs.

Build a picture of your ordinary week

Look at the documents you printed last month. Separate quick black-and-white forms, color work and photos. Count sheets as well as jobs: a weekly 40-page report asks more of a printer than ten single-page receipts.

Then write down your busiest realistic week. Your printer should cope comfortably with that week, without buying capacity for an unlikely project you might do once.

Choose the workflow before the model

If you only need paper output, a print-only machine can be enough. Choose an all-in-one when you need a flatbed for books or IDs. Add an automatic document feeder when you regularly scan a stack of loose pages.

Check two-sided printing and two-sided scanning separately. They describe different mechanisms. A printer may turn printed sheets automatically while still requiring you to flip originals during a scan.

Price the whole ownership period

Compare the purchase cost with replacement ink, paper and any optional subscription over the time you expect to keep the printer. A higher initial price may make sense for steady printing; it may never pay back for a few forms each month.

Use the same assumptions for every model. Treat published ink yields as a comparison tool, then allow room for your own page coverage and maintenance. Check the exact replacement supply numbers sold in your country.

Make three checks before ordering

First, measure the space with trays open and leave access to the scanner lid. Second, confirm support for your computer, phone and network. Third, read setup requirements, including any account or internet conditions attached to optional services.

Keep a shortlist of two or three models. Choose the one that removes your most frequent printing annoyance, whether that is constant paper loading, manual page flipping or swapping photo paper.
