The quick take

Choose for the complete document workflow. Scanning and paper handling deserve as much attention as print speed.

Look at the tasks around the printed page

A printer’s speed matters, but so does everything you do before and after a job. If a contract arrives as a stack of paper, a document feeder may save more effort than a few extra pages per minute.

List recurring tasks such as scanning signed forms, copying IDs or printing two-sided reports. Match each task to a specific feature, then remove features you would rarely use from your must-have list.

Do not confuse print duplex with scan duplex

Automatic duplex printing turns a sheet inside the printer so both sides can be used. A duplex scanner captures both sides of an original. An automatic document feeder alone does not tell you whether scanning is two-sided.

For regular two-sided paperwork, verify the scanning specification explicitly. For occasional originals, manual flipping may be acceptable. Keep books, receipts and delicate pages on a suitable flatbed rather than forcing them through a feeder.

Make capacity work for you

Choose a tray that holds enough paper for your usual working rhythm. If you refill every morning, a larger tray can remove that interruption. Leave room at the output tray so printed pages do not spill onto the floor.

Use the recommended monthly volume to judge ongoing suitability. The maximum duty cycle describes an upper limit under specified conditions; it is not a target for normal daily use.

Plan the shared workspace

Wi-Fi keeps the printer accessible to several devices. Ethernet is worth considering when the printer can sit near a wired network point. USB can serve a dedicated computer without relying on local wireless coverage.

Before a deadline, test a print and a scan from every essential device. Check your software can save the file type you need, and give scanned documents consistent names so finding them does not become the next bottleneck.
