Choose integrated scanning when it removes a repeated task, and verify the exact scanner features.
Start with incoming paper
If you often receive signed forms or need copies, a built-in scanner can make sense. A flatbed suits individual pages and suitable bound material. A document feeder handles supported loose originals in a stack. Check both before choosing.
Check functions one by one
All-in-one commonly combines printing, copying and scanning, but fax is not universal. Neither are two-sided scanning or every advertised software feature. Verify the exact functions and any account, app or service requirements in the model specification.
Consider what you already have
A dedicated scanner or an established phone-scanning workflow may mean a print-only device is enough. Compare the desk space and practical effort of your existing arrangement with an integrated model. Buying functions you never use does not improve the workflow.
